The Windows 10 file manager establishes a permission system to determine the owner and the users who can access certain files or folders. These permissions are assigned by default based on the type of user and the group to which that user belongs. In this article we are going to see how to manage and change the permissions and ownership of any Microsoft operating system file.
The role of permissions on files and folders is to establish which users can access and modify them. By default, the user who created the file will have full control over it as well as the team administrators. It is a very useful tool for work environments and teams that are used by several users. It allows to have the access control of the files of the team and to assign different privileges according to which person.
Configure the permissions from Team Management
You can set the permissions to the different groups or to any user of the team. Users are the computer access accounts. Groups is a set of users that have some characteristics in common. By default, the operating system differentiates between various groups such as Administrators or Guests, with a series of permissions set. There are many more dedicated to specific tasks. You can view them or create new ones in Computer Management – Local Users and Groups. This system is widely used by companies with a very large network and configured remote connections.
Change permissions and ownership using the Security tab
In the properties of each file you can see a list of users and groups that have access and what type of access is configured for each of them. By right clicking on the folder or file in question and selecting Properties, we can see the permissions in the Security tab . The types of access that can be set are full control (all available permissions), modify, read and execute, read, write, and special permissions.
Next to the list of permissions, the option to edit them appears to remove or add privileges to a user or a group of users. To completely add or remove any of the established permissions, you must access the Advanced Options. There are the options to Add and Remove permissions. Those that groups and users that appear in the list by default cannot be eliminated. Since they are the owner of the file and the administration groups of the team.
Next, we are going to see how to change the ownership of a file step by step:
1. First, we must access the properties of the file in question. Right click + properties.
2. As before, we must navigate to the Security tab, where we will click on Advanced Options.
3. Finally, we select the Change option that appears right next to the file owner’s username. A search engine appears in which you will have to indicate which user to transfer the property to.
4. Once the changes are confirmed, ownership is transferred to the new user. It is important to remove all permissions for other users if you only want the owner to have access.
Change permissions on a network shared folder
Another option that we can also configure from Windows 10, is the possibility of changing the permissions of the files and folders that we have shared on the network. In this way it is possible to add new users to this folder, so that they can have access to all the content, as well as modify it if necessary. To do this we must carry out a few simple steps that we tell you below.
The first thing will be to have the folder that we have shared on the network displayed and we will click on it with the right mouse button. Next, the Windows context menu will appear, where we must select the “Properties” option. Later a window will open where we must select the “Share” tab. Here we will find the shared use of folders and files on the network, where we must click on the «Share» button. A new Network Access window will appear where we must display the tab and choose the option “Create a new user”.
Once this is done, the Control Panel window will open where we must select the option “Manage another account.” In the new screen that appears, we must select the option “Add a new user in Configuration”. Now we go to the “Settings” menu, where we must click on “Add another person to this team” and enter their data to log in, either with an email address or phone. Once finished, we return to the «Share» tab and now we can select the new users that we have created from the list, by clicking on «Add». Finally, we must give it the desired “Permission level” and the user will have access to these documents that we have shared on the network.
Use the command prompt to control permissions
The command prompt application will also allow us to assign and remove permissions to users who are part of the system. In this way we can better manage our private documents when we use a shared computer with more people. In order to use this method, it will be necessary to have some knowledge related to the command line, so it is a method more oriented to more advanced users, since for beginners it will always be more comfortable from the Windows 10 interface itself.
To do this, the first thing we must do is access the search engine located at the bottom left and type “cmd” or “command prompt” and select the suggested option. Once the command prompt window is open we will need to use a series of commands. On the one hand we can use the takeown command that allows us to take position of an object. To do this we must write “takeown /?” and hit enter. We can also use the calcs or icacls command that will help us manage and administer the permissions on a folder or unit and on all the content in it. To do this, just type “cacls” or “icals” and hit enter.
